How do we obtain your personal data?
We have obtained the types of personal data mentioned above from you because:
  • you left a comment on our website;
  • you completed our contact form;
  • you subscribed to our CMOtalk newsletter;
  • you came to one of our CMOtalk events;
  • you provided your data to us in another manner.
3. Purposes
We process your personal data for the following purposes:
We only process your personal data if we have a lawful basis and for the purposes below.

Contact form or e-mail
You can contact us using our contact form or by sending an e-mail. We then have a legitimate interest in processing the data we have obtained from you in this way. We process the contents of the e-mail or message received through the contact form, your name, and email address so we can respond to your message. We will store this communication for a maximum of two years after our last correspondence.

CMOtalk Newsletter
We would like to send you our newsletter because you are a customer with us or you have subscribed to it. We will then process your name and e-mail address so we can send you information and news. Each newsletter contains a link for you to unsubscribe. We will store your data for this purpose until you unsubscribe.

Quotations
You can request a no-obligation quotation from us. To issue a quotation, we need all the contact details that we would need to put on an invoice at a later point. Even if you or the company you work for decides not become a customer with us, we will keep the data for seven years after our last contact with you, so we can produce records for the tax authorities if need be. In addition, we would like to retain the data for our own quotation management and to analyse the quotations we have issued.

Customers
If you become customer with us, we will enter into an agreement with you or the company you work for. We will then process the contact details we need to implement the agreement, send invoices, and check payments. We will store this data for up to seven years after our last contact with you or invoice, whichever is later. We have a legal obligation to retain invoices and related records for this period.

Events
We organize various events, including the CMOtalk/Breakfast, /Round tables, /Dinners, /Webinars, and /Specials. We process your contact details so we can contact you and process your registration and attendance. Without this information, we will not be able to register you as an attendee of the event. We will delete any data that is only required for the event within six months of the event taking place.

CMOtalk interviews & podcasts
Our CMOtalk podcast contains interviews with inspiring CMOs on topical marketing issues. We will process the contact details of interviewees so we can arrange to record the podcast with them and follow up afterwards. This data comprises the name and profile of the interviewees. We also process photos of interviewees. These are posted alongside the interview on CMOtalk.nl, iTunes, Spotify, Stitcher, SoundCloud, Google Podcasts, and TuneIn, and are used for promotion on our social media channels. We have a legitimate interest in this processing, because without these images, we could not make CMOtalk possible or promote it. This data will be stored on our website until we take the interview offline.
4. Transfer
Recipients of personal data
We share your data with the following third parties, including our data processors:
  • our website host
  • newsletter service provider
  • cloud storage provider
  • CRM management software.

Transfer to a third country
We try to process personal data within the EEA as much as possible, but sometimes we cannot avoid using companies outside of it. Companies we call on outside of the EEA are located in a country designated by the European Commission as offering adequate data protection. If the companies we use are not located in an adequate country, appropriate safeguards or binding business regulations have been laid down with them. Most of the time, we use the EU’s Standard Contractual Clauses. You can request a copy of these by sending us an e-mail.

Right to be informed, rectification, and erasure
You have the right to know what personal data we process about you. You may then ask us to rectify or erase it.

Right to restrict processing
You have the right to ask us to restrict processing of your personal data, e.g. if the data is no longer correct, if the processing is unlawful, if we no longer need your personal data, or pending a decision on the objection you have made against the processing.

Right to object
You have the right to object to the processing of your personal data. If you object to the use of personal data for direct marketing purposes, we will no longer use your personal data for that purpose.

Right to data portability
You have the right to receive your personal data from us in a structured, common, and machine-readable format, so that you can transfer it to another party, if you had already given us consent to process your data and if processing is automated.

Revoking consent
If we have obtained your data for a particular purpose based on your consent, you may withdraw this consent at any time. Revoking your consent does not affect the lawfulness of the processing carried provided before the revocation.

Complaints
If you wish to make a complaint about how we handle your personal data, you can contact the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
6. Personal data security
We have appropriate technical and organizational measures in place to protect personal data against loss and any form of unlawful processing. These measures provide a level of security that is appropriate to the data we process. We work with password protection and have anti-virus software on all workstations and our laptops. Access to our servers is also limited to authorized user accounts and remote access is secured via an encrypted VPN.
7. Cookies
Cookies are used to ensure our website performs as efficiently as possible and to tailor the content of adverts to suit your preferences. A cookie is a small file that is sent by our website and placed on your device by your browser. The information stored in the cookie can be sent back to our website when you visit us again.
